POS Transition Made Easier with Training

Switching the POS provider is difficult since hundreds of fast food employees work with your current system. Getting all these people onboarded to a new POS system can be hard and tiring. We explain the difficulties of switching your POS environment and how you can best prepare for these difficulties.

Many QSRs are moving away from legacy-based systems in favour of integrated, cloud-based platforms that offer more than just transaction support. They want a true digital ecosystem, one that enhances the customer journey while simplifying operations for employees and management alike. But moving to a new system is a major decision, especially when hundreds or even thousands of fast food employees are already working with the current setup. High turnover makes QSR training even more complex.

As of 2024, the restaurant industry reported a 75% turnover rate, significantly higher compared to other sectors (Davis, 2024). At S4D, we’ve supported many restaurant chains through this journey, and we understand the operational burden it creates.

These extreme numbers arise with high costs that lie in the following three aspects:

The time it takes to:

  • hire an employee (Management hours)
  • train a new employee
  • for an employee to become proficient in their job

We’ve focused on addressing the last two points: POS training and time to proficiency. We accomplished this by integrating a digital academy directly into our cloud-based POS system, making it accessible anytime, anywhere. Through the Digital Academy, we provide our partners with the opportunity to upload instructional videos for POS training and other educational purposes. These resources are especially valuable for onboarding new hires and supporting existing staff when preparing unfamiliar menu items.

How We Offer the Digital Academy

The Digital Academy is available to team members within the Store Management POS system and works as follows:

Account Activation:
New team members automatically receive an activation email when invited to the system. After creating their password, they are taken to the POS where they receive a personal PIN for secure access.

Training Content in POS:
The Digital Academy lives within the POS interface and allows HQS and managers to:

  • Deliver QSR training on operational processes
  • Upload videos or manuals (e.g., how to prepare a new menu item)
  • Alert team members to new training content directly in the POS

In-POS Support Tools:
To make learning ongoing and accessible:

  • Help buttons are available on every screen for instant support
  • A searchable FAQ provides quick answers to common questions
  • This allows fast food employees to find solutions without interrupting their work or calling a manager.

Achieving Faster, More Effective POS Training

Switching systems doesn’t have to slow you down. With S4D’s embedded POS training, you empower your team to learn on the job, reduce onboarding time, and ensure operational consistency. By placing the QSR training experience right inside the POS, we help your employees start stronger, adapt faster, and stay more confident, so your brand keeps running smoothly, no matter how many new hires walk through the door.
